5 reasons why you should take your payroll online

Date: 22nd May 2016

If you like all the benefits of having your business accounts in the cloud – like being able to access real-time information anywhere, anytime – then no doubt you’ll appreciate an online payroll system too.  The payroll systems that we recommend – Crystal Payroll, iPayroll,  SmartPayroll and Thankyou Payroll – differ in the features they offer but have a few important things in common: they’re all easy to use, they’re all cloud-based and they all integrate nicely with your other important business applications, like Xero.

If you haven’t taken your payroll online, here’s are some of the benefits you can expect with cloud-based payroll (note that exact features may vary by application).

1. Available anywhere anytime

As long as you have a device and an internet connection at your disposal you’ll have immediate access to your payroll – anywhere and anytime.

2. Your payroll integrates with other key players in your business

Because you’re operating ‘in the cloud’ your online payroll plays nicely with the other systems you use in your business:

  • It integrates seamlessly with  Xero accounting software and timesheet or time management software
  • You can link your payroll with any of the major banks
  • It also manages PAYE deductions and other IRD transactions with just one click. No need to do a PAYE return each month, this is taken care of automatically with your payroll processing

3. No software to download or upgrade

You’ll never need to re-load an old software disc onto your new laptop, or be hindered by repeatedly having to upgrade PC-based software. This means you’re automatically compliant with legislative changes such as the Holidays Act.

4. Online access for your employees

Some cloud payroll apps have the option of allowing employees access to selected pay information. You can provide your employee with their own ‘Employee Login’ to give them view-only access to a selection of reports of their payroll information.

5. Online access for your Accountant

You can choose to allow your accountant direct online access to selected reporting functions within your payroll account so they can access the relevant payroll information they require at any time.
